Office security systems for single-tenant and multi-tenant buildings
An office security system is mostly a door problem. Cameras in an office building record lobbies, corridors and the loading area, and that is a short list. The money and the arguments live in access control: which doors are base building and which are tenant, who holds the credentials when a tenant moves out, and what the fire code lets you lock at all. Get the door schedule right and the rest of the system prices itself.
The fact that sets the spec
You cannot badge-lock a stairwell door on its own. The code makes it an all-or-nothing decision for the building.
Model code section 1010.2.7 requires interior stairway means of egress doors to be openable from both sides without a key or special knowledge. The exception that lets you lock the stair side in a tall building requires those doors to be openable from the egress side and capable of being unlocked simultaneously without unlatching, on a signal from the fire command center or from a single location inside the main entrance. So stairwell access control is a building system with a central release, not a reader you add to one floor because one tenant asked. Confirm the adopted edition and any local amendments with your AHJ.

Two door schedules: base building and tenant
Draw the line before you get quotes. Base building doors are the perimeter, the lobby, the loading dock, the stair doors, the elevator lobbies, the mechanical and electrical rooms and the roof. Tenant doors are the suite entries and anything inside a leased premises. They often end up on different systems, paid by different parties, with different credentials, which is how a person ends up carrying two cards in one building. Access control prices per opening at roughly $1,500 to $3,500 per door installed for a standard opening and $3,000 to $5,000 once hardware, labor and first-year software are included, so insist on a per-door breakdown you can allocate.

Office intrusion detection is about the shell and the hours. Contacts on exterior and stair doors, motion in the lobby and corridors, glass break at ground-floor glazing, and separate arming partitions so one tenant working late does not have to disarm the whole building. Partitioning is the detail that gets skipped in cheap bids and it is the one that generates false alarms and angry tenants for the next ten years. Ask how many partitions the panel supports and how a tenant arms only their own area.

Useful office coverage is short: the main entrance at face height, each elevator lobby, the loading dock and freight elevator, the parking entry, the stair door exteriors and any cash or mailroom. Cameras inside tenant suites belong to the tenant, not the landlord, and putting them on the base building system creates a footage-request problem no lease anticipated. Settle in writing who can request footage, from whom, and how quickly, before there is an incident.

Decide early whether the building carries one monitored account with tenant partitions or each tenant contracts separately. The single-account model is cheaper and gives the property manager visibility. The per-tenant model is cleaner at lease turnover. Whichever you pick, get the call list, the verification procedure and the false alarm responsibility in writing, because in a multi-tenant building the person the central station calls at 2am is rarely the person who set the alarm off.

In an office building the fire alarm is not a parallel system to access control, it is an input to it. Activation has to release electrically locked egress doors, and in a sprinklered building the sprinkler valves, flow switches and pressures have to be electrically supervised and their signals transmitted to an approved supervising station. Ask the security bidder who is making the interface to the fire alarm panel, who is testing it, and whether that test is in the commissioning scope, because a failed interlock is the most common reason an access control system does not pass inspection.

The rules
The rules that set the spec for office buildings
Every claim below was checked against a named source on the date shown. Rules change and vary by jurisdiction, so confirm the current version with the regulator or your AHJ before you sign a scope.
Stairwell doors: openable from both sides, or unlocked all at once
Model code section 1010.2.7 requires interior stairway means of egress doors to be openable from both sides without the use of a key or special knowledge or effort. The exception used in tall buildings allows stairway doors to be locked from the stair side provided they remain openable from the egress side and are capable of being unlocked simultaneously without unlatching on a signal from the fire command center, if present, or from a single location inside the main entrance to the building.
What it does to the spec. Stairwell access control becomes a base-building project with a central release point, fire-rated hardware and a tested interface, not a per-floor add-on. That is a materially different price from putting a reader on one door, and it is the reason a tenant's request to badge their stair door usually has to be refused or escalated to the landlord. Electrically locked egress doors need sensor release and a push-to-exit
Where an egress door is held by an electric lock released by a sensor, the model code requires all of the following: a sensor on the egress side arranged to detect an occupant approaching the door and unlock it; automatic unlocking on loss of power to the lock or locking system; a manual unlocking device mounted 40 to 48 inches above the floor within 5 feet of the door, marked PUSH TO EXIT, which directly interrupts power to the lock and holds it unlocked for at least 30 seconds; automatic unlocking on activation of the fire alarm or the sprinkler or fire detection system, held until the fire alarm is reset; emergency lighting on the egress side; and listing of the locking system units in accordance with UL 294.
What it does to the spec. This is the rule that decides whether a maglock is legal on your lobby or suite door, and it adds real hardware to the bid: a request-to-exit sensor, a hard-wired push-to-exit button, an interface to the fire alarm panel, and emergency lighting. Any access control quote that shows a maglock and no push-to-exit is either incomplete or not code-compliant. Verify with your AHJ.

The cheaper alternative: hardware that releases the lock directly
The model code also permits electrically locked egress doors in all occupancies except Group H where the release is in the door hardware itself. The requirements are that the hardware affixed to the door leaf has an obvious method of operation readily operated under all lighting conditions and usable with one hand, that operating the hardware directly interrupts power to the electric lock and unlocks the door immediately, that loss of power to the electric locking system automatically unlocks the door, that panic or fire exit hardware where required also releases the electric lock, and that the locking system units are listed to UL 294.
What it does to the spec. This path, usually electrified lever trim or electric latch retraction on a panic device, avoids the separate sensor and push-to-exit assembly but costs more in door hardware. Ask bidders to price both approaches on your suite entry doors. On a glass storefront suite entry the difference can be several hundred dollars per opening either way, and the two are not interchangeable once the hardware is ordered.

ADA: the reader is accessible, the door hardware has to be too
The 2010 ADA Standards, section 404.2.7, require handles, pulls, latches, locks and other operable parts on doors and gates to comply with 309.4, which means operable with one hand and without tight grasping, pinching or twisting of the wrist, and to be mounted 34 inches minimum and 48 inches maximum above the floor. Section 404.2.9 limits the opening force for interior hinged doors and sliding or folding doors to 5 pounds maximum. Section 404.1 exempts doors designed to be operated only by security personnel from several of these requirements, and the advisory is explicit that security personnel must have sole control of such doors.
What it does to the spec. Card readers, keypads and push-to-exit buttons all land inside a mounting-height window, and a door closer adjusted to fight an electric strike can push a door past 5 pounds of opening force. If you add a power operator to fix that, the operator has to be sequenced with the lock release so the door does not try to open against a latched strike. Put reader height and door opening force in the punch list, not in the warranty period.

A sprinklered office owes a monitored fire signal
Model code section 903.4 requires valves controlling the water supply for automatic sprinkler systems, pumps, tanks, water levels and temperatures, critical air pressures and waterflow switches to be electrically supervised by a listed fire alarm control unit. Section 903.4.1 requires alarm, supervisory and trouble signals to be distinctly different and automatically transmitted to an approved supervising station, unless the fire code official approves an audible signal at a constantly attended location instead.
What it does to the spec. This is a base-building recurring cost, not a tenant one, and it is usually a separate monitoring account from the burglar alarm. When you compare monitoring quotes, get the monthly split by signal type and the name of the listed supervising station for each. Confirm the adopted edition with your local fire code official.

What a office buildings security system costs

In an office building the door count, not the square footage, drives the number, so the fastest way to a comparable set of bids is to hand every bidder the same door schedule marked base building or tenant. Two line items move the total more than anything else: door hardware on existing openings, especially glass storefront and fire-rated doors, and the interface work between access control, the fire alarm panel and the elevators. Cloud access control also adds a per-door software fee, commonly $3.50 to $15 per door per month, which over five years on twenty doors is a real number and is not comparable to an on-premise install price.

What to ask a office buildings security bidder
The questions that are specific to this building type. A bidder who has done this work before will have answers; one who has not will have a brochure.

Which doors are base building and which are tenant, in writing?
Ask the bidder to return your door schedule marked up with an owner for every opening, the lock type, the release method and the price. Anything unmarked is the thing that becomes a change order or an argument with the landlord. In a leased suite, also confirm which doors the lease actually lets you modify.

Does the landlord have to approve this low-voltage work?
Most commercial leases require landlord consent for alterations, sometimes require use of a designated low-voltage contractor, and often require removal and restoration at lease end. Ask your bidder whether they have worked in the building, and ask the property manager for the building's contractor requirements and after-hours access rules before you price the job. The restoration obligation at move-out is the cost nobody models.

Maglock with push-to-exit, or electrified hardware?
Both are code paths for an electrically locked egress door and they price differently. Ask for both priced on the same openings. The sensor release path needs a request-to-exit sensor, a hard-wired PUSH TO EXIT device that directly interrupts lock power and holds for 30 seconds, a fire alarm interface and emergency lighting. The hardware release path puts the release in the lever or panic device instead.

Who is interfacing with the fire alarm and the elevators, and who tests it?
Fire alarm activation has to release electrically locked egress doors, and elevator credential integration touches a third contractor. Ask for a named owner of each interface, the sequence of operations document, and a witnessed test in the commissioning scope. Interfaces are where multi-trade office jobs fail inspection.

What happens to credentials when a tenant leaves?
Ask how the system handles bulk revocation, whether the outgoing tenant's cardholder data is exported or deleted, who holds the administrator account, and whether reused credential numbers can collide with a new tenant's. Then compare that to the cost of rekeying: mechanical rekeying of a floor is a recurring expense that access control is supposed to eliminate, so ask for both numbers.

If the access control is cloud-hosted, what does the vendor's audit report cover?
Ask for a current SOC 2 Type II report or equivalent independent assurance, the data residency, how long door events are retained, whether video and door data leave the country, and what happens to door control if the internet connection drops. A cloud system that stops unlocking doors during an outage is a different product from one where the panel keeps working offline.

How much does an office security system cost?
$4,000 to $12,000 installed for a single-tenant small office with two to four controlled doors and a handful of cameras, $12,000 to $45,000 for a multi-floor tenant suite, and $45,000 to $200,000 or more for a multi-tenant base-building system. Monitoring runs roughly $60 to $150 a month at the small end and $400 to $1,500 or more for a whole building. These are planning ballparks. Door count drives the number, not square footage, which is why the same floor area can price three different ways.
What is the best security system for an office?
The one built around your door schedule, which is a boring answer and the correct one. For most offices the priority order is access control first, intrusion detection second, cameras third. Access control is what you use every day and what you need when someone leaves. Intrusion covers the hours nobody is there. Cameras answer questions after the fact and in an office there are fewer useful camera positions than people expect. Beware any package priced per square foot rather than per opening.

Where should I not put office security cameras?
Bathrooms, locker rooms and changing areas, which are prohibited in many states, and inside leased tenant premises if you are the landlord. The second one is a lease problem rather than a statute: base-building cameras looking into a tenant's space create footage-request and privacy disputes that no standard lease resolves. Audio is also a separate legal question from video, and several states require the consent of every party to record a conversation. Specify audio disabled at the recorder as well as at the camera.
Do I need the landlord's permission to install a security system in my office?
Almost certainly, yes. Commercial leases generally require landlord consent for alterations, and many buildings require you to use an approved low-voltage contractor, restrict after-hours work, and require you to remove the system and restore the doors when the lease ends. Ask the property manager for the building's contractor and alteration requirements before you take bids, and get the restoration obligation priced, because it is the cost tenants routinely discover at move-out.
Is a monitored office alarm worth it if we already have cameras?
Usually yes, because they answer different questions. Cameras tell you what happened. A monitored intrusion system produces a response while it is happening and, in most insurance conversations, is the thing that counts as a protective safeguard. In a multi-tenant building the more important decision is structural: one monitored account with partitions per tenant, or a separate account per tenant. Get the call list, the verification procedure and false-alarm responsibility in writing either way.
